Welcome to The Self Care Retreats. Please read the following Terms & Conditions carefully before booking any retreat experience. By submitting payment and registering for a retreat, you acknowledge that you have read, understood, and agreed to these terms.

1. Booking & Payments

A retreat space is secured only once a deposit or full payment has been received.

  • Deposits are required to reserve your space.

  • Payment plans are available for all retreats.

  • All payments must be made on time according to the agreed payment schedule.If you need to reschedule a payment, send an email to: hello@theselfcareretreats.com

  • Failure to complete payments may result in forfeiture of your reservation.

If a payment plan is missed, we reserve the right to cancel your booking after reasonable notice. We will attempt to contact you twice via email and phone call before cancelling your retreat.

2. Deposits

All deposits are non-refundable and non-transferable unless otherwise stated by email.

Deposits cover planning costs, vendor commitments, and reservation expenses that begin immediately after booking.

3. Cancellation Policy

Due to the nature of travel planning, accommodations, and vendor commitments, cancellation policies are firm.

Unless otherwise stated on a specific retreat page:

  • 120+ days before retreat: 10% refund available excluding deposit

  • 90+ days before retreat: 5% refund available excluding deposit

  • Under 60 days before retreat: Payments are non-refundable

You will receive your refund 5-10 business days after cancellation.

If the guest chooses not to attend, misses travel dates, or leaves early, no refund will be issued.

4. Retreat Changes & Cancellation by Company

The Self Care Retreats reserves the right to make reasonable itinerary adjustments due to weather, safety concerns, supplier changes, local regulations, or unforeseen circumstances.

If a retreat must be canceled by our company, guests may be offered one of the following:

  • Transfer to a future retreat

  • Retreat credit. Retreat credits are valid for 12 months.

  • Total refund including deposit.

We are not responsible for incidental costs such as airfare, passports, visas, travel gear, or personal expenses.

5. Travel Documents & Entry Requirements

Guests are solely responsible for ensuring they have:

  • A valid passport. Passports must hold validity for 6 months past travel dates to enter most countries.

  • Required visas

  • Vaccination or health documentation if needed

  • Compliance with destination entry requirements

No refunds will be issued for denied boarding, expired passports, or failure to meet travel requirements.

6. Travel Insurance

We strongly recommend travel insurance.

Travel insurance can help protect your investment in case of:

  • Trip cancellation

  • Medical emergencies

  • Delays or interruptions

  • Lost luggage

  • Unexpected life events

Travel insurance is offered during registration for all retreats.

7. Health & Personal Responsibility

By attending, guests confirm they are physically and mentally able to participate in retreat activities.

Guests are responsible for:

  • Their own health decisions

  • Informing us of allergies or medical conditions

  • Seeking medical care if needed

  • Participating only in activities they feel comfortable with

Our retreats are not a substitute for therapy, medical treatment, or licensed mental health care unless specifically stated.

8. Activities & Excursions

Participation in workshops, excursions, spa services, wellness sessions, and activities is voluntary unless otherwise noted.

Guests assume responsibility for any risks associated with optional activities, including but not limited to:

  • Water activities

  • Hiking

  • Adventure tours

  • Transportation excursions

  • Wellness treatments

9. Room Accommodations

Room assignments are based on the package selected and availability.

If you book shared accommodations:

  • Roommate requests may be honored when possible

  • If no roommate is selected, we may assign one

  • Shared room compatibility cannot be guaranteed

Private rooms are limited and subject to availability.

10. Code of Conduct

We are committed to maintaining a respectful, safe, and uplifting environment.

Guests agree to treat fellow attendees, staff, and vendors with respect.

The following may result in removal from retreat without refund:

  • Harassment or bullying

  • Disruptive behavior

  • Excessive intoxication

  • Illegal activity

  • Behavior that compromises group safety or experience

11. Photography & Media Release

Retreat experiences may be photographed or filmed for future marketing and promotional purposes.

By attending, guests grant permission for reasonable use of group photos or video unless they notify us in writing before the retreat begins.

We respect privacy and will be mindful in all content captured.

12. Force Majeure

We are not liable for delays, cancellations, or changes caused by events beyond our control, including:

  • Natural disasters

  • Severe weather

  • Pandemics

  • Government restrictions

  • Airline disruptions

  • Civil unrest

  • Acts of God

In these situations, credits, refunds, rescheduling options, or adjusted policies may apply.

13. Limitation of Liability

The Self Care Retreats acts as a coordinator of retreat experiences and third-party services.

We are not liable for:

  • Airline issues

  • Lost baggage

  • Vendor negligence

  • Personal injury resulting from guest negligence

  • Theft or lost personal belongings

  • Travel delays outside our control

Guests participate at their own discretion.

14. Intellectual Property

All retreat materials, branding, written content, guides, and resources remain the property of The Self Care Retreats and may not be reproduced without permission.

15. Acceptance of Terms

By submitting payment and attending a retreat, you confirm that you have read and accepted these Terms & Conditions.
